The protection of your personal data is a priority for VDA Accommodations (VDA). This policy explains who we are, why we use your personal data, how we handle it, who we share it with, how long we keep it, and how to contact us and exercise your rights.

Who we are

Your data is handled by Vereda do Arraz Alojamentos, Unipessoal Lda., registration number 516758390 (VDA). VDA is the data controller under the General Data Protection Regulation (GDPR).

Why we process your data

VDA collects and processes your personal data for these purposes:

  1. To meet legal obligations, in particular reporting to the foreign and border services and invoicing.
  2. To perform the temporary accommodation contract for tourists or the Local Accommodation Management Contract, in particular payments, check-in and check-out, guest management, managing contract obligations, and pre-contract steps.
  3. To send email and mobile communications with information and commercial messages, within VDA's marketing, and to answer requests for information.
  4. To protect VDA's property and assets and for statistical analysis.

If you do not provide data for purposes 1 and 2, VDA cannot meet its legal obligations. This can lead to termination of the contract, without any right to compensation, and to deficiencies in the service that cannot be attributed to VDA.

What data we collect

VDA collects and processes the data needed to provide the contracted services, answer requests for information or handle pre-contract steps. This includes identification data, contact data and bank or payment card data.

Legal basis

We process your data to perform the temporary accommodation contract and the Local Accommodation Management Contract, and to meet legal obligations on the entry, stay and departure of foreigners and on tax matters (article 6(1)(b) and (c) of the GDPR).

For purpose 3, we rely on your consent (article 6(1)(a) of the GDPR). For purpose 4, we rely on VDA's legitimate interest (article 6(1)(f) of the GDPR).

How long we keep your data

Unless the law or an authority requires otherwise, we keep personal data only for the minimum period needed for the purposes for which it was collected or later processed. VDA keeps personal data for 3 years.

Who we share your data with

VDA can share some of your data with these recipients:

  1. Organisations or companies linked to VDA, when they follow an equivalent data protection policy.
  2. Public bodies VDA is legally required to inform, such as the foreign and border services and the tax authority.
  3. Subcontractors that provide services related to your data, only to give technical help to VDA. These include website hosting, booking and property management software, email marketing, cleaning companies, law firms, accounting firms and insurers. The booking system used is Talkguest.
  4. Competent authorities, when VDA must disclose information in legal proceedings or to detect technical or security problems.

Transfers outside the European Union

VDA does not sell your data and does not transfer it outside the European Union.

Cookies

Our website uses cookies and similar tools. Our Cookie Policy explains what they are, why we use them and how to manage them.

Your rights

At any time you can ask for access to your personal data, and for its correction or deletion, restriction of processing, objection to processing, and data portability.

If requests are clearly unfounded or excessive, in particular because they are repeated, VDA can charge a reasonable fee based on administrative costs, or refuse to act.

Where processing is based on your consent, you can withdraw it at any time. Withdrawal does not affect processing already done on the basis of your earlier consent, nor later processing of the same data on another legal basis, such as the contract or a legal obligation.

You also have the right to complain to the National Data Protection Commission (CNPD).

Security and confidentiality

VDA uses appropriate security measures to protect your personal data and prevent access by unauthorised persons. Data sent over the internet is not completely secure, so VDA cannot give an absolute guarantee for information sent through the website.

VDA respects the confidentiality of your information. It does not sell, distribute or make your data commercially available to third parties. VDA keeps your information confidential under this policy and the applicable law.
